Cloud Storage Service Consolidation Initiative
Project Background
Stevens currently has four storage platforms for users - Google, Storage01, Box, and Microsoft 365. With Storage01 being decommissioned and Google changing their licensing structure to no longer provide free storage, Stevens is moving to Microsoft 365 as our primary cloud storage solution for sensitive and restricted data.
Microsoft OneDrive (5TB per user) and SharePoint should be utilized for sensitive and departmental data, but Google (10 GB per user) will still be available for non-sensitive data. Please be aware that copyrighted material (torrents, movies, music, etc.) should not be stored on any Stevens provided storage platform.
Moving to OneDrive and SharePoint for cloud storage leverages the University’s strategic partnership with Microsoft to provide the same capabilities as Google and Box while also enabling seamless integration with other powerful Microsoft 365 collaboration tools like Teams and Canvas.

The Division of IT is committed to making your move as smooth as possible. Here are the steps you can take now to help make that happen:
Delete data in Google, Storage01, and Box that is no longer being used.
Self-migrate your personal business/Stevens data from Google or Box.
Microsoft is the recommended cloud storage platform for all data and the only platform for sensitive data.
Storage Limits: OneDrive (5TB) and Google Drive (10GB – for non-sensitive data only)
Note that department data will be migrated at a later date.
Register to attend Stevens specific Microsoft trainings or public Microsoft trainings.

On April 30, 2023, Box will no longer be available for the Stevens community. Faculty and staff members will be unable to access Stevens Box shares. Keep in mind that you may still access files or folders shared with you and owned by someone outside of Stevens. The Division of Information Technology has worked with all departments, divisions and schools across campus to migrate data from Box to OneDrive and SharePoint.

Subject: Google Storage Quota – Extension until May 20
To: Faculty and Staff Over Google Quota
The Division of Information Technology put a Google storage quota limit of 10GB per user into effect for all faculty and staff members on Tuesday, December 20, 2022. You were provided a 60-day extension that ended on February 20, 2023.
We have decided to provide you with a temporary increase in the Google storage quota to allow you more time to migrate your data off of Google Drive to OneDrive by May 20, 2023. If you need assistance migrating your data, please contact support@stevens.edu.
If your data has already been migrated from Google to OneDrive, we ask that you delete the data from Google and empty your Google Drive trash.
On May 20, 2023, if your Google Drive storage exceeds 10GB you will be unable to modify or add data to your drive and will only be able to delete or download data.

Over the last several months, the Division of IT has been working with various departments, divisions and schools across campus to migrate data from Google and Box to OneDrive and SharePoint Document Library.
We have completed the move for 80% of the departments, divisions, schools and users. The community has seen the benefits of consolidating cloud storage platforms as improved productivity, collaboration, accessibility, and increased security. We are nearing the close of the project and would like to thank the community for your continued support in helping make this migration as seamless as possible.

Box Decommissioning

In the last 4 months, the OneIT team has worked with numerous departments to sync over 76 TB of data from Box and Google to Microsoft OneDrive and SharePoint. Additionally, a clean-up of 185TB of data from inactive users was completed on Google Drive. Microsoft has also hosted 20 training sessions on SharePoint, OneDrive and Teams for the Stevens community.

A quota limit of 10GB went into effect this Fall. We advise that you thoroughly review your data in Google and take immediate steps to bring storage consumption under 10GB; alternatively, you can migrate your data to OneDrive (5TB capacity). Please be aware that users with greater than 10GB of data on Google Drive will be unable to add to their Google Drive.

Subject: User Account and Data Retention Changes
To: Stevens Users Inactive for 180 Days
Stevens is in the process of updating its user account and data retention policy. Per the new policy under review, Stevens privileged user accounts and resources will only be limited to active students, affiliated faculty, staff, and consultants. If you have graduated or have been inactive for over 180 days, your Stevens account will be disabled, and data will be deleted starting November 25th. A detailed schedule is listed below.
- November 25th – Disable access to Google Drive and One Drive and remove user data
Please take immediate action and move any email or data before November 25th to a personal account. Review the Knowledge Base article on how to migrate data from Google Drive using the Mover.io tool.
Stevens and the Division of Information Technology will not be liable for any data loss on or after November 25th.

As mentioned during the Spring and Summer 2022 semesters, Stevens is consolidating cloud storage platforms to improve productivity, collaboration, accessibility, and security for our community.
A quota limit of 10GB has gone into effect as of early August 2022.We advise that you thoroughly review your data in Google and take immediate steps to bring storage consumption under 10GB; alternatively, you can migrate your data to OneDrive (5TB capacity). Please be aware that users with greater than 10GB of data on Google Drive may risk losing access to Google or data loss after October 23, 2022.
Please note that as with all Stevens computing resources, these storage platforms may not be used in violation of the Security Policy or Digital Copyright and DMCA requirements.
Review the Knowledge Base article on how to migrate data from Google Drive to OneDrive using the Mover.io tool.
If you have migrated your data from Google Drive we ask that you delete any remaining data on your Google Drive.

As mentioned during the Spring and Summer semesters, Stevens is consolidating cloud storage platforms to improve productivity, collaboration, accessibility, and security for our community.
Stevens currently has four storage platforms for users – Google Drive, Storage01, Box, and Microsoft 365. With Storage01 having been decommissioned, and Google changing their licensing structure to no longer provide free storage, Stevens will support Microsoft 365 as our primary cloud storage solution for sensitive and restricted data.
Microsoft OneDrive (5TB per user) is recommended for individual user data and SharePoint for departmental data. Microsoft should be utilized for all sensitive data, but Google (10 GB per user) will still be available for non-sensitive data. Data from Box must be migrated to OneDrive/SharePoint. Please note that as with all Stevens computing resources, these storage platforms may not be used in violation of the Security Policy or Digital Copyright and DMCA requirements.
During October the Google storage quota (10 GB per user) will go into effect for all faculty and staff members. Our IT team is currently working with departments across campus to migrate their departmental data from Box and Google Drive to Microsoft (OneDrive and SharePoint). If you have personal business data, not departmental data, that needs to be migrated from Google or Box we recommend you use the free mover.io tool to do so.
